Appointment Cancellation & Non-Refundable Deposit Policy
At Timeless Aesthetics & Wellness, we value your time and strive to provide exceptional care while respecting the schedules of all our patients and providers. Because treatment appointments are reserved specifically for you, we require a non-refundable deposit to secure certain appointments.
Non-Refundable Deposit
A non-refundable deposit is required when scheduling select services, including but not limited to aesthetic procedures, wellness services, and treatment packages.
- The deposit amount will be applied toward the total cost of your scheduled treatment.
- Deposits are non-refundable under all circumstances except if the practice cancels your appointment and cannot reschedule within a reasonable timeframe.
- If you choose not to proceed with treatment after your consultation or scheduled appointment, the deposit will be forfeited.
Appointment Changes
We understand that unexpected situations arise. If you need to reschedule your appointment, please notify our office at least 24 business hours before your scheduled appointment.
Appointments rescheduled with at least 24 business hours’ notice may have the deposit transferred one time to a future appointment. Additional rescheduling may require a new deposit.
Late Cancellations
Appointments canceled with less than 24 business hours’ notice will result in forfeiture of the deposit.
If no deposit was collected, a cancellation fee may be charged according to the current fee schedule before future appointments may be scheduled.
No-Show Policy
Patients who fail to arrive for a scheduled appointment without prior notice (“no-show”) will forfeit their deposit.
Additional no-show appointments may result in:
- Requirement for full prepayment before future appointments
- Restriction of online scheduling privileges
- Possible dismissal from the practice for repeated occurrences
Late Arrivals
Patients arriving more than 15 minutes late may be asked to reschedule if there is insufficient time to safely complete the scheduled treatment. In such cases, the appointment may be considered a late cancellation, and the deposit may be forfeited.
Packages and Memberships
Deposits, prepaid treatments, and package sessions are subject to the same cancellation policy. Missed appointments or cancellations outside the required notice period may result in the scheduled treatment being deducted from the package or membership, when applicable.
Refund Policy
Because medical aesthetic services are elective and outcomes vary among individuals:
- Deposits are non-refundable.
- Completed services are non-refundable.
- Products that have been opened or used cannot be returned.
- Unused, unopened retail products may be eligible for return or exchange within 5 days of the purchase date.
Medical Emergencies and Medical Contraindications
We understand that true medical emergencies, severe illness, or other unforeseen circumstances may occur. Exceptions to this policy may be considered at the sole discretion of Timeless Aesthetics & Wellness.
If, on the day of your appointment, the provider determines that treatment cannot be safely performed due to a newly identified medical contraindication, change in your health status, undisclosed medical history, medication use, pregnancy, active infection, skin condition, or any other condition that may increase the risk of complications, the provider may postpone or cancel treatment in the interest of patient safety. In such cases, the application, transfer, or forfeiture of the deposit will be determined at the sole discretion of the provider after consideration of the individual circumstances.
